Open Enrolment: Configuring the One Window Everyone Uses at Once

Open enrolment is the highest-traffic event in the benefits calendar. The config that survives it is planned months ahead, not the week before.

Open enrolment is the Super Bowl of benefits, the one time nearly your whole workforce touches the system in a tight window. Everything that's slightly wrong in configuration becomes loudly wrong under that load. The teams that sail through planned it months out; the ones that panic left it to the fortnight before.

Lock the plan year setup early

Plan years, rates, coverage options, and eligibility all need to be configured and frozen well ahead. Rate changes trickling in during the enrolment window are how you get people enrolling against wrong numbers. Freeze it, test it, then open.

Configure the enrolment experience for self-service

Most enrolments should complete with zero HR involvement. That means clear plan descriptions, sensible defaults, and a flow an ordinary employee can finish on their phone in ten minutes. Every confusing screen is a support ticket multiplied by your headcount.

Plan the default and passive logic

What happens to someone who doesn't actively enrol? Roll over, default to a plan, or lose coverage? That rule needs deciding and configuring deliberately, because a chunk of people never log in, and whatever you set is what happens to them.

Real scenario: a client's rates weren't finalised until three days before enrolment opened, so testing was rushed and a dependent-coverage rate was wrong. Hundreds enrolled before it was caught, and every one needed correcting. The fix was cultural, not technical: the next year we mandated rates frozen a month out, and enrolment ran clean.
